Steps for Outgoing/Incoming Mail Server Setup

How to Configure an Outgoing-Mail Server?

Steps :- 

1. We have to navigate to the Settings menu.

2. Go to Settings , click on the 🔻sign to see more menu.

3. Now there you will find ‘Outgoing-Mail Servers’ menu in the dropdown.

4. Click to open the Outgoing Mail Server’s List view.

5. When we click on the NEW button, the form view will appear, and here we can add the details for configuring an outgoing mail server.

6. Fill the required fields given below :  

Name: Name of the outgoing mail server (we can give any names)

Authenticate With: User Name

SMTP Server: smtp.gmail.com

SMTP Port: The port of your SMTP server, here it is 465

Connection Encryption: SSL/TLS

Username: Your Email Id

Password: Password of your Email Id (App Password created by gmail’s   Manage Your Google Account ,steps given below)

Priority: The lowest number we give the priority will be higher, example set value as 10.

7. After adding all the required details in the outgoing mail server form view, click on the Test connection button on the left top.

8. If all the details we entered are correct, then it will show a Connection Successful message.



How to Configure an Incoming-Mail Server?

Steps :- 

1. We have to navigate to the Settings menu.

2. Go to Settings , click on🔻the sign to see more menu.

3. Now there you will find the ‘Incoming-Mail Servers’ menu in the dropdown.

4. Click to open the Incoming Mail Server’s List view.

5. When we click on the NEW button, the form view will appear, and here we can add the details for configuring an incoming mail server.

6. Fill the required fields given below :  

Name: Name of the incoming mail server (any name) 

Server Type: Select the type of incoming mail server you want to configure (e.g., IMAP or POP)

Server Name: The hostname or IP address of the mail server

(here – imap.gmail.com)

Port:  The port number for the mail server (e.g. 143 for IMAP, 110 for POP)

SSL/TLS: Click to check the box.

Username: Your Email Id

Password: Password of your Email Id (App Password created by gmail’s   Manage Your Google Account ,steps given below)

7. After adding all the required details in the incoming mail server form view, click on the Test & Confirm button on the left top.

8. If all the details we entered are correct, then it will Change the status to Confirmed on the top right corner.

App Password created by gmail’s Manage Your Google Account

Steps :- 

1. Open Google Chrome and log in to your Gmail account.

2. Click on your profile picture in the top-right corner, then Select "Manage your Google Account."

3. In the left sidebar, click on "Security."

4. Under How You Sign in to Google , select 2-steps verification or Under the "Signing in to Google" section, click on "App passwords."

5. You might need to sign in again for security purposes.

6. Scroll down to App Passwords , click on to set the password.

7. Select "Other (Custom name)" as the app.

8. Click "Generate."

9. A randomly generated app password will be displayed. Use this password for your application and copy it.

10. Again go back to  ‘Outgoing/Incoming mail server’ and paste the password in the password

Note:- If you are using smtp-relay.gmail.com in SMTP Server for outgoing mail server so in that case user should be logged in at the time of sending mail and mail will be sent by logged in user mail id.
